Visitation Center Attendant HR Coordinator is the direct supervisor.
Job Qualifications
Individuals qualified for this position will have completed high school and have at least 1 year experience in an office setting with multi-line phone system. The Office Coordinator will assign duties including but not limited to the following:
- Maintain schedule hours and notify direct supervisor of any modification of those hours.
- Answer incoming calls promptly with the standardized greeting "Thank you for calling Visinet, how can we help you?"
- Inform callers they may be transferred to voice mail if the individual is not available.
- Ensure callers are getting transferred to the correct individual.
- Utilize voice mail and handwritten message appropriately as requested.
- Expedite the phone call to the correct person, limiting the amount of time the caller is engaged in conversation with the incorrect person.
- Inform Visinet, Inc. staff if an individual is waiting for them in lobby.
- Record time of arrival for clients and employees on the daily visitation center schedule, direct them to their assigned rooms.
- Provide routine clean up of visitation center, lobby and toys daily.
- Maintain building security by allowing only authorized persons into the administrative areas.
- Ensure the building is properly secure upon arrival and exit as needed.
- Fill documentation bins and maintain office equipment as necessary.
- Complete incident reports as necessary.
- Complete the Visitation Center Room checklist after the conclusion of each FS/VS/Therapy session.
- Adhere to the strict confidentiality policies indicated in the Employee Manual, as well as, all of the other policies and procedures.
- Follow the proper chain of command as illustrated on the Visinet, Inc. flow chart when reporting problems, complaints, concerns or compliments.
- Comply with instructions in a timely manner.
- Responds positively to constructive criticism.
- Professional attitude and attire in the office.
- Supports and promotes programs within Visinet, Inc. as necessary for clientele served.
- Complete 8 hours of Mandt training
- Complete CPR training or recertification for CPR training.
- Other duties (not limited to the above) as determined by your Visinet, Inc. supervisor/administration.
The average starting pay for this position is $10.00 hr. Additional compensation may be applicable based upon educational and professional experience. Prior to employment, the CEO and CFO will negotiate any increase in the starting wage. Full-time employees are eligible for benefits as outlined in the Employee Manual.
