Job Qualifications
Individuals qualified for this position will have completed high school and have at least 1 year experience in an office setting with multi-line phone systems. The Office Coordinator will assign duties including but not limited to the following:
- Maintain schedule hours and notify direct supervisor of any modification of those hours.
- Answer incoming calls promptly with the standardized greeting "Thank you for calling Visinet, how can we help you?"
- Inform callers they may be transferred to voice mail if the individual is not available.
- Ensure callers are getting transferred to the correct individual.
- Utilize voice mail and handwritten message appropriately as requested.
- Expedite the phone call to the correct person, limiting the amount of time the caller is engaged in conversation with the incorrect person.
- Inform Visinet, Inc. staff if an individual is waiting for them in lobby.
- Record time of arrival for clients and employees on the daily visitation center schedule, direct them to their assigned rooms.
- Provide routine clean up of visitation center, lobby and toys as needed.
- Participate in special clerical assignments and meet deadlines as assigned by the Office Coordinator, CEO/CFO or Director of Operations.
- Maintain accurate filing as requested.
- Open mail as directed by COO/CEO/CFO or Director of Operations.
- Adhere to the strict confidentiality policies as indicated by the Employee Manual, as well as all of the other policies and procedures.
- Maintain building security by allowing only authorized persons into the administrative areas.
- Assist in the development of new techniques and methods to improve efficiency and efficacy of operations.
- Ensure the building is properly secure upon arrival and exit as needed.
- Provide the appropriate paperwork for potential employees.
- Conduct daily Medicaid eligibility checks.
- Maintain the personnel files according to standardized format.
- Complete filing as requested by the Office Coordinator.
- Complete 8 hours of Mandt training
- Complete CPR training or recertification for CPR training.
- Assist in the completion of employee chart audits.
The average starting pay for this position is $10.00 hr. Additional compensation may be applicable based upon educational and professional experience. Full-time employees are eligible for benefits as outlined in the Employee Manual.
